What are Shared Accounts?
Many organizers hire seasonal workers or volunteers to help run the box office. Giving each of them their own SimpleTix login isn’t always practical:- Seasonal staff often don’t have an email address on your organization’s domain
- Logging out and back in between shifts takes time away from selling tickets
cashier@myorganization.com) as a shared account and keep it logged in on your box office devices. Each staff member has a short Subuser Access Code. When they take over a device, they enter their code and the app tags everything they do — orders, product redemptions, and scans — with their name.
Shared accounts are for staff who need to sell tickets or redeem products. If a volunteer only needs to scan tickets, Scan Only Mode is simpler and doesn’t require a login at all.
Setting up a Shared Account

Create the shared user
In the Manager Portal, go to Settings > Users & Roles and add a user for the shared login (e.g.
cashier@myorganization.com). Assign it the role your box office staff need, typically Sales & Check-in.See User Roles Management for details on adding users.2
Mark the account as shared
Log in to the Manager Portal as the shared account itself (e.g.
cashier@myorganization.com) and go to the Your Profile page. Under Shared Box Office Settings, turn on Is this a shared box office account?Shared Box Office Settings apply to whichever account is currently logged in — there is no option to mark a different user as shared. Any role can do this; you don’t need to be an Owner or Administrator.

Add Subuser Access Codes
In the same section, add a subuser for each person who will share the account, with their full name and a Subuser Access Code, then click Save. Codes must be unique within the account. They should be short and easy to type, but not easy to guess — treat them like a PIN.
Using a Shared Account in the Organizer App

Log in with the shared account
Log in to the SimpleTix Organizer app with the shared account’s email and password. For shared accounts, we recommend checking “Remember Me” to avoid needing to log in often. Since the account is marked as shared, the app immediately asks for a Subuser Access Code.

Enter your Subuser Access Code
The staff member enters their code. The app confirms who is working by showing a banner at the top of the screen: Currently working: <staff name>.

Switch staff at shift change
When another staff member takes over the device, tap Switch in the banner and enter the new Subuser Access Code. No need to log out.
Tracking Staff Activity
Every action taken while a Subuser Access Code is active is recorded with that staff member’s name:- Orders — the staff member’s name is added to the order notes, visible in the app’s Order Details screen and in the Manager Portal
- Product redemptions — shown as Redeemed by on the product
- Scans and admissions — attributed to the staff member alongside the device name
