Waitlists
Step-by-step guide on enabling waitlists once your tickets are sold out.
This feature only works on General Admission (GA) and Online/Webinar Event.
To use the waitlist feature, you must have a payment processor connected to your account and your event must be set to Active. Waitlists are not available for free events without a payment processor.
How It Works
When enabled, a waitlist option replaces the “Sold Out” notice on your event page. Ticket buyers can submit their details to be alerted when additional tickets become available.
Waitlist Behavior with Password-Protected Tickets
The waitlist will only appear when all public tickets are sold out. If you’re using password-protected tickets, the waitlist will not display until both public and password-protected tickets are sold out.
For events with different ticket tiers:

If VIP tickets (password-protected) are still available but early bird tickets are sold out, the waitlist will still be visible

If you want a waitlist to display even when password-protected tickets are available, consider using two separate ticket types instead
Step-by-Step Guide to Enable Waitlists

Log in to Your Manager Portal
Go to manager.simpletix.com and sign in with your credentials.

Navigate to Events
Once logged in, click on Events from the top menu.

Locate Your Event

Click on the search bar and type your event name.

Locate the event from the search results and click on it to open the event details.

Access the Waitlist Section
In the left-hand panel of your event page, click on Waitlist.

Enable the Waitlist Feature
On the Waitlist page, you’ll see an option to enable waitlists. Toggle the setting to activate waitlisting for your event. You can also configure whether the system should automatically email waitlist attendees when additional tickets become available.

Confirm Waitlist Activation
Once enabled, your event page will display a waitlist option instead of showing a sold-out message once there are no more tickets available.

Attendee Sign-Up
Attendees can now fill in their details on the waitlist form to be notified if tickets are released.

Notifying Waitlist Attendees
When additional ticket slots become available:

If the Automatically Email Waitlist Attendees setting is on, customers will receive an email notification automatically.

If the setting is off, you can manually select attendees from the waitlist and click Email Selected to notify them.

When waitlisted customers receive an email notification, it does not guarantee them a ticket. The notification simply informs them that tickets are available again, but these tickets are available to all customers. If multiple waitlisted customers try to purchase at the same time, tickets may sell out again before some can complete their purchase.
If you want to reserve tickets specifically for waitlisted customers:

Disable the Automatically Email Waitlist Attendees setting

Create a password-protected ticket type when adding more inventory

Manually email the waitlisted customers with the ticket link and password
This ensures only customers with the password (your waitlisted customers) can access the new tickets.

Refunds and Cancellations Impact on Waitlist
With the waitlist enabled and automatic emailing activated, if you refund or cancel an order, the number of waitlisted customers that will be emailed will be equal to 3 times the number of refunded/canceled orders. For example, if you refund 3 tickets, 9 people on the waitlist will be notified that tickets are available.
By following these steps, you ensure that your waitlist operates smoothly, allowing interested customers to have another chance to purchase tickets when they become available.
