Managing Event Attendees Overview
Learn how to view, export, import, and manage attendees for your events in Manager Portal, including photo management and reminders.
Viewing All Attendees for an Event
- Log in to Manager Portal.
- From the main dashboard, click on the Events tab.
- Select the event you wish to manage. In the event’s overview, click on Attendee List from the sidebar.
- You will now see a list of all attendees for that event. If Attendee Information is enabled, the ticket holder’s name appears; otherwise, one entry per order is shown.
- Use filters (such as event time) to narrow your view, including past events if needed.
See which Attendees have been admitted
- Log in to Manager Portal.
- From the main dashboard, click on the Events tab.
- Select the event you wish to manage. In the event’s overview, click on Attendee List from the sidebar.
- You will now see a list of all attendees for that event.
- Next to their name will be an “Admit” button or a Green reverse arrow. If you see the Admit button, they have not been admitted. Clicking that button will admit them and prevent their tickets from being scanned later. Clicking the green reverse arrow will unadmit their ticket and let it be scanned again.
Importing/Uploading Attendees
- Access your event’s Attendee Management page (via the Events tab, select your event, then Attendee List).
- From the Options dropdown, select Import Attendees.
- Follow the instructions in the pop-up window:
- If you’re working with a General Admission event, choose the appropriate event time.
- Select the correct ticket type.
- Upload your attendee list using a CSV file or import from a Veezi export.
- Note: If you do not see the Import Attendees option, please contact SimpleTix Support.
Viewing Scan Reports for Specific Events and Ticket Types
- Within Attendee List, click on the Options dropdown and choose Scan Report.
- Use the provided filters to select:
- The specific event date/time.
- The ticket types you wish to review.
- This report shows which tickets have been scanned. For more detailed information (such as individual scan details), you can export your attendee list and filter the data in Excel.
Managing Attendee Photos (Selfies) and Sending Reminders
- In your event’s Attendee List, each attendee’s registered photo is displayed alongside their details.
- To update an uploaded photo:
- Click on the photo. If necessary, you can upload a new one or choose to reject the current image.
- Rejecting a photo automatically sends an email to the attendee with a link for reupload.
- To send selfie reminders:
- For individual reminders: Search for the attendee by name, hover over their photo, and click the Send Reminder button.
- For bulk reminders:
- Click Options and then Selfie Reminder.
- Enter your preferred subject and email body; the system automatically includes the upload link.
- Optionally, filter by ticket type before sending reminders.
Editing Attendee Details
- To edit Attendee Details, click their row on Attendee List or start from the Orders tab and find the order they are associated with.
- Click Action -> Edit Attendee Details. Make your edits. Then click save.
Exporting Attendees to Mailchimp
- Ensure your Mailchimp account is connected:
- Go to the Mailchimp integration settings within the Manager Portal found under General Settings or directly via the Mailchimp settings page.
- If you experience connection issues, disconnect and reconnect your Mailchimp account.
- Navigate to the Attendee List section for your event.
- Click the Options dropdown menu.
- Select Export to Mailchimp and follow the on-screen prompts to sync your attendee list with your designated Mailchimp contact list.
- This direct integration means no manual setup (like creating tags) is required.
