Connect DonorPerfect and Reconcile Orders
SimpleTix can connect to DonorPerfect so ticket orders can be reviewed and sent to donor records. Use DonorPerfect Reconciliation to match a SimpleTix order to an existing DonorPerfect donor, update selected donor fields, or create a new donor in DonorPerfect.The Compare & Merge tool compares SimpleTix order information with one DonorPerfect donor record. It does not merge two separate DonorPerfect donor records into one. If you need to combine duplicate donor records that already exist inside DonorPerfect, do that in DonorPerfect.
Before you start
- You need a DonorPerfect API key. To get one, contact your DonorPerfect account manager and request an API key.
- You need access to the SimpleTix Manager Portal as an Owner, Admin, or Manager.
- DonorPerfect must be connected before the DonorPerfect Reconciliation option appears under Reports.
Connect DonorPerfect
Open the DonorPerfect connection page
Log in to the Manager Portal, click Settings, then open Plugins and choose DonorPerfect Connection.You can also go directly to DonorPerfect Connection.
Configure DonorPerfect settings for an event
Before reconciling orders for an event, review the event’s DonorPerfect settings so gifts, service fees, and event donations are categorized correctly in DonorPerfect.- Open the event in the Manager Portal.
- Open DonorPerfect Settings from the event settings menu.
- Click Sync to DonorPerfect if you recently changed codes in DonorPerfect.
- Review and select the codes you want SimpleTix to use:
- Campaign
- General Ledger
- Solicitation
- Sub Solicitation
- Event
- Event Year
- Comments
- Service Fees codes
- Event Donations codes
- Click Save.
The code options come from your DonorPerfect account. If a campaign, general ledger code, solicitation code, sub-solicitation code, or event code is missing, confirm it exists in DonorPerfect, then use Sync to DonorPerfect in SimpleTix.
Reconcile orders with DonorPerfect
- Log in to the Manager Portal.
- Click Reports.
- Select DonorPerfect Reconciliation.
- Unmatched: orders that still need review.
- Matched: orders already reconciled with DonorPerfect.
- Ignored: orders you chose not to send to DonorPerfect.
- All Orders: all DonorPerfect reconciliation records.
Choose the right action
Quick Match
Use Quick Match when the suggested DonorPerfect record is clearly the same person.- Find the correct donor in the potential match list.
- Click the lightning icon.
Compare & Merge
Use Compare & Merge when the buyer appears to be the same donor, but you want to review which fields should be saved.- Find the donor in the potential match list.
- Click the columns icon for Compare & Merge.
- In the Merge & Save Order Data window, review each field:
- First Name
- Last Name
- Address
- City
- State
- Country
- Zip
- Mobile Phone
- For each row, choose the SimpleTix value or the DonorPerfect value.
- Review the Final Value column.
- Scroll to the bottom of the window and click Merge & Save.
In the new Manager Portal, the button that finishes the merge is inside the Merge & Save Order Data window. If you opened Compare & Merge but do not see a button, scroll to the bottom of the window and look for Merge & Save.
Create a new donor in DonorPerfect
Use + Create new donor in DonorPerfect when no existing DonorPerfect record should be used.- Open the order card.
- Click + Create new donor in DonorPerfect.
- Review the SimpleTix buyer information in the merge window.
- Click Merge & Save.
Ignore an order
Use Ignore this order only when the order should not be reconciled to DonorPerfect. Ignored orders are removed from the active reconciliation queue and appear under the Ignored tab.Manual donor search
Use Search manually when you want to check whether a donor exists in DonorPerfect before creating a new record. You can search by:- First name
- Last name
% as a wildcard. For example, searching Smi% can find names such as Smith, Smiles, or Smithsonian.
If the correct donor appears in manual search but is not available as a selectable match on the order card, contact SimpleTix Support so we can help complete the reconciliation.
What happens after you save
After you use Quick Match, Compare & Merge, or + Create new donor in DonorPerfect:- The order is marked as reconciled in SimpleTix.
- The order moves out of the Unmatched tab.
- SimpleTix queues the DonorPerfect sync in the background.
- The selected donor fields are sent to DonorPerfect when you use Compare & Merge or create a new donor.
Troubleshooting
I do not see DonorPerfect Reconciliation under Reports
Confirm that DonorPerfect is connected for your SimpleTix account. Go to DonorPerfect Connection, enter your API key, and click Connect. If DonorPerfect is connected and you still cannot see the page, confirm that your user has Owner, Admin, or Manager access.I opened Compare & Merge but cannot find the merge button
The final button is inside the popup window. Scroll to the bottom of the Merge & Save Order Data window and click Merge & Save. If you are on a small screen or using a high browser zoom level, try reducing browser zoom or using a wider screen.The donor code I need is missing from event settings
Confirm the code exists in DonorPerfect, then open the event’s DonorPerfect Settings page and click Sync to DonorPerfect.The API key is rejected
Confirm the API key with your DonorPerfect account manager, then paste it again on the DonorPerfect connection page.SimpleTix Reports
