Member Management
Manage existing members — send complimentary tickets, edit memberships, email members, sell by phone, download lists, and more.
Overview
After creating your memberships, you’ll handle day-to-day operations: sending free tickets, emailing members, editing user info, and managing recurring billing. This guide covers it all.
Sending Complimentary Tickets
You can grant free tickets to members (or any group) in multiple ways:
From the Memberships Section
- Log In → Memberships.
- Next to the membership, click the Ticket button (not the megaphone).
- Select the event/ticket type, then choose Free (Complimentary).
- All members in that membership get the comp ticket email.
Box Office Method
- Box Office → Sell Tickets.
- Pick the event and ticket type.
- At checkout, select Free (Complimentary).
- Complete the order; attendees get their free ticket confirmation.
100% Off Promo Codes
- Create a Promo Code with a 100% discount.
- Send it to recipients to claim free tickets at checkout.
Emailing Members
- Memberships → find the membership → click the Megaphone icon.
- Compose your email, using placeholders if desired (e.g.,
{membership_expiry_date}
). - Send to all current members or filter if you have advanced options.
- Members receive an email from
clientservices@simpletix.com
with your custom message.
Editing User Memberships
Updating Member Info
- Memberships → next to a membership, click People.
- Search for the user, then click the Edit (pencil icon).
- Adjust name, email, or membership details.
- Save.
Recurring Billing & Payment Details
- For recurring plans, you can:
- Change card on file (credit card icon).
- Cancel or refund membership if needed.
Selling Memberships Over the Phone
- In Memberships, click Buy Membership or navigate to Buy Membership
- Fill in customer details, payment info, etc.
- Save & confirm. The user’s membership is active, and they’ll receive an email confirmation.
Downloading Member Lists
- Memberships → find the membership → click People, or go to the membership page
- Look for a CSV button (top-right).
- Download the CSV to view or import offline.
Additional Tips
- Deleting vs. Canceling: Deleting a user’s membership removes it entirely; canceling ends future renewals but preserves history.
- Adding a New User: If needed, you can manually add a user to a membership from the People screen.
- Free vs. Paid Tiers: If you handle multiple membership tiers (some free, some paid), keep them clearly labeled to avoid confusion.
