# Flex Pass and Timed Events Overview

> Learn the differences between Flex Passes and timed events, including how to update Flex Pass ticket settings effectively.

0:09 If you've created events in the past, log in to the Manager Portal, and click Events, and then click Create Event. If this is your first time creating an event, just click the Verify Email, uh, Verify link in the email that's sent after account creation, and you'll land on this screen.
0:24 The first step here is the same step as creating any event. We need to enter in the event details. We're going to enter the title.
0:33 This will be for SimpleTix Farms. Admission Passes. Then you can enter the event type. We'll have Agritourism, because this is going to be a farm.
0:45 And then the venue. We will pick, um, actually for this one, we'll create a new venue. We will create the SimpleTix Farms venue.
0:56 We will enter the location. We're just going to put this one in Canton, Massachusetts time zone.
1:10 We can put Eastern Time, and then save that. Enter about your event, entry pass for SimpleTix Farms. We can upload a photo, or on the next page, we will be taken to a, uhm, selection of photos that we think are good.
1:29 We will pick, eh, this one's nice. We'll pick this one. Next, we're going to land on the screen to select the event.
1:36 Here is where you're going to select a FlexPass event. FlexPass events do not have times. Uhm, so, as mentioned in the Help Desk article here, FlexPass events are really good for when you want to sell a ticket for something, and you don't need to know when that person is going to come.
1:53 So, let's say that SimpleTix Farms will be open every single day in October, and you want people to just be able to buy a ticket and come over.
2:00 Whenever, and not have to deal with rain checks, don't have to deal with cancellations, FlexPass is perfect. The flip side of FlexPass is you need to be ready for every single customer to basically come on one day.
2:13 Obviously, not every customer will come on one day, but if you have strict capacity limits, like, let's say, an ice rink, FlexPass is not a good option for you.
2:21 We're going to create four different types of tickets here. We're going to create first a weekday pass, anytime pass, we'll make this $10, we'll make the anytime pass $15, and then we're going to create a weekday season pass, and then we're going to create an anytime season pass.
2:48 Now, we can click settings to open up the settings here, and we'll make these, uh, the weekday season pass $30, and the anytime season pass $50. Clicking settings will open up the settings here.
3:00 You can enter the ticket description, you can enter editor mode to create kind of a more fulsome description, you can enter a ticket note.
3:06 This ticket note will actually display on the ticket. It could be something like, make sure to park in parking lot B.
3:13 Or something like that. The ticket buyer, there are four options here by attendees and staff, mean that both attendees can purchase the tickets online and staff can sell the tickets on the box office app or on the box office web.
3:24 Attendees only mean that the attendees can only purchase it online. This is good if you want to have sort of a separate online price and an in-person price.
3:32 Staff only lets only the staff purchase it. Disabled lets no one purchase it. Minimum tickets per order and the maximum tickets per order, how you want to charge the service fees, um, so the options here absorb the fee, which basically means that the customers are charged, uh, the ticket price and then
3:48 the fees for SimpleTix and the credit card processor will come out of that. Pass the ticketing fees on and the credit card processing fees on will pass on the SimpleTix fees in a service fee and then our estimate of the credit card price will pass on the fees.
4:01 The default estimate is $0.30 per ticket and 2.9% per order. You can have that estimate changed by emailing support at SimpleTix.com.
4:11 Important thing to note, that estimate is $0.30 per order, um, for the processing fees, whereas, um, let's try $0.30 per ticket for the processing fees, whereas, um, credit card processors generally charge $0.30 per order.
4:28 The reason for the discrepancy is that we don't want the service fees at the individual ticket level to change as people add more tickets, because it creates confusion, but if you have any more questions on that, please email support at SimpleTix.com.
4:41 You can also charge a custom fee if you want. You can create specific, uh, start times and end times for sales.
4:45 I'm going to disable that. You can then create an expiration date. I'm not going to do that for here, but this is good for, you know, if you were going to sell a one-year unlimited pass to a museum, and then can the tickets be scanned more than one time?
4:59 For this one, the weekday pass, we're not going to have that, um, but we're going to say that this ticket can be used only on certain days of the week, and it's only going to be able to be used on Monday, Tuesday, Wednesday, Thursday, Friday.
5:09 Okay, now, here. we're dealing with the anytime pass. We're going to keep the exact same settings, but the ticket can be used any day.
5:20 Now, we're going to be doing the weekday season pass, which is going to be similar, except the ticket is going to be able to be scanned more than one time.
5:26 And so, let's just say that, uh, the anytime season pass, to just prevent abuse, we'll say that the ticket could be used 25 times, and then the ticket can be used only on certain days of the week, because it's a weekday pass, Monday, Tuesday, Wednesday, Thursday, Friday.
5:40 Then, finally, we're going to create the anytime season pass, which, um, this can be used on any day, and it can be scanned more than one time, so 25 times.
5:49 Clicking done will create the event. Now, we have a great feature on SimpleTix, uh, to help prevent abuse and pass sharing, especially on the season passes.
5:59 If you go into event details, and, uh, take a look at the season pass setting, ask the buyer to upload their profile photos.
6:05 We'll do yes one time. Uh, this will prompt the user when they order, uh, any of these season pass tickets to upload a photo.
6:14 This photo will actually appear when your staff scan the ticket in the SimpleTix app, so you can make sure that people aren't sharing those passes.
6:21 Then, finally, you just go into ticket settings, and you would click settings on weekday season pass. And then, uhm, should be enable it here, but actually we did not.
6:38 Click save. So we'll have to do this. Click save. Ticket settings. Now go down to the weekday season pass. Require attendee selfie photo.
6:48 Require attendee selfie photo. So now, when the customers order these passes, they will be required to upload a photo. If they do not upload a photo, your staff can also take a photo the first time they come to the farm.

# Understanding Flex Pass Versus Timed Events

It’s important to note that Flex Passes and timed (general admission or reserved seating) events are configured differently:

* **Flex Passes** are designed for entry without specific times or dates. They allow multiple scans (for example, day passes or season passes) and include settings such as validity dates, expiration periods relative to purchase, and optional selfie photo requirements.
* **Timed events** are tied to specific dates and times. They include start/end times for when events begin.

### Real World Examples

**Flex Pass:**\
SimpleTix farms wants to sell two types of tickets — one valid for all weekdays in October and another valid for all weekends and holidays in October (including Columbus Day and Halloween). This means a customer buys one ticket and can attend at their convenience. If a day is rained out, there’s no need for rescheduling or a rain check; the customer can simply attend on the next available day.

**General Admission with Multiple Event Times:**\
SimpleTix Ice Rink wants to sell tickets for skate sessions but must ensure that no more than 100 people are on the ice at a given time. This method offers precise capacity control and smooth customer flow. If a day gets rained out, the event cancellation and rescheduling feature allows SimpleTix Ice Rink to move customers to another time — or let them choose their preferred time.

Below are step-by-step instructions for creating a Flex Pass event and updating Flex Pass ticket settings.

# Creating a Flex Pass Event

1. **Log in and start event creation:**
   * Visit [the event creation page](https://manager.simpletix.com/general/create-event) or
   * Log in to [Manager Portal](https://manager.simpletix.com) and click **Events** in the top navigation.
   * Click **Create Event**.

2. **Enter event information:**
   * Provide your **Event Name**.
   * Do not select **online (webinar)** or **in-person**.
   * Select a venue:
     * If an existing venue is available, choose it.
     * Otherwise, click **New Venue** to add one.
   * Choose your **Event Type**, **Event Category**, and **Sub-Category**.
   * Add an event image (suggested size: **750px by 472px**) and a detailed event description.

3. Select **Flex Pass (No Set Event Time)** on the subsequent page.

4. Enter your ticket name and price. Click **Settings** to explore advanced ticket settings.

# Flex Pass Ticket Settings

* Click **Settings** next to your Flex Pass ticket to configure:
  * **Ticket Name, Pricing, and Description:** Displayed at checkout.
  * **Ticket Note:** Shown on the PDF, E-ticket, and Apple Wallet ticket.
  * **Ticket Buyer:** Options include “attendees and staff,” “attendees only,” or “staff only.”
  * **Min/Max Tickets Per Order:** Set the minimum and maximum number of tickets allowed per order.
  * **Fee Handling:** Choose to:
    * Absorb the fee (deducted from your purchase price),
    * Pass on SimpleTix Fees along with an estimated payment processor fee to the customer (fees added as service fees at checkout), or
    * Charge a custom fee.
  * **Ticket Sales Start / End:** Specify when ticket sales should begin and end (default: Immediately and Never, respectively).
  * **Expiration Constraints:** Set a validity period (for example, have the Flex Pass expire a specified number of months after purchase).
  * **Number of Scans:** Determine if a ticket can be scanned only once or multiple times; if multiple, set the maximum number of scans and whether multiple scans are allowed on a single day.
  * **Validity:** Define when the ticket can and cannot be used by selecting exact dates, specific days of the week (e.g., Weekday, Weekend, Tuesday Tickets), etc.
  * **Selfie Requirement:** Enforce a “selfie photo” policy to help prevent pass sharing. Ensure that the event settings have enabled "Ask the Buyer To Upload Their Profile Photo" before activating this option.

# Updating Flex Pass Ticket Settings

1. **Access Manager Portal**
   * Log in to [Manager Portal](https://manager.simpletix.com)
   * In the dashboard, select the **Events** section.

2. **Select the Event**
   * Locate your Flex Pass event and click to open it.
   * *Note*: If you mistakenly created a Flex Pass when you intended a timed entry, it is best to delete the event and recreate it as the correct type (General Admission or Reserved Seating).

3. Click **Ticket Settings** on the left-hand rail.

4. **Edit the Flex Pass ticket(s) you wish to modify.**

5. Click **Save**.
